Westport is a transformational program that offers a rare opportunity for progressive and impactful large-scale infrastructure planning. Part of the Department of Transport and Major Infrastructure, the Westport Office is responsible for delivering a diverse program of works that will:
- Scale up WA’s trade capabilities for the next century.
- Enable larger, more efficient vessels that Fremantle Port cannot accommodate.
- Increase the share of rail freight, reducing road congestion and emissions.
- Include an innovative port design informed by marine environmental science.
- Enable the transformation of Fremantle Port into vibrant mixed-use communities.

- Encourage growth within the Kwinana Industrial Area and Western Trade Coast.

The Opportunity:
Westport are seeking a detail‑driven and proactive Document Controller to play a pivotal role in supporting one of Western Australia’s most significant infrastructure programs. As part of the Commercial & Corporate directorate, you will be at the heart of a once‑in‑a‑century project shaping the future of container trade, freight movement and economic prosperity for the state.
In this role, you will ensure the integrity, accessibility and accuracy of critical program documentation – material that underpins decisions, drives collaboration, and supports delivery across multi‑disciplinary teams. You’ll work closely with project staff, technical specialists, and external partners to maintain reliable document control systems, streamline processes, and make sure the right people have access to the right information at the right time.

Your impact will be through:
- Managing the integrity, accessibility and revision control of program documentation, ensuring consistent application of naming conventions, metadata standards and approved processes.
- Coordinating key document workflows – including transmittals, information requests and review/approval cycles – to support efficient project delivery.
- Maintaining accurate document registers , logs and secure storage across systems such as Objective, SharePoint and other DMS platforms.
- Providing guidance and frontline support to project teams on document classification, retrieval and correct system usage.
- Monitoring compliance through regular self‑audits, reporting on document control activity, and contributing to continuous improvement of processes and tools.
- Supporting stakeholder coordination through preparation of reports, meeting documentation, minutes and action tracking.
What sets you apart:
- Demonstrated experience as a Document Controller and/or records management practitioner within major infrastructure projects or office environments.
- A high level of attention to detail, strong organisational skills, and a solutions‑focused mindset.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and substantial experience with cloud‑based project collaboration, records and document management systems (e.g., Aconex, Objective, OneDrive, SharePoint, TeamBinder).
- Strong written and interpersonal communication skills, with the ability to support a broad stakeholder group.
- Knowledge of revision control, metadata standards and transmittal processes.
- Knowledge of Power BI and its application for reporting.
- Understanding of ISO standards and project documentation requirements.

There is currently one (1) full time (or part time job share) , fixed term appointment contract up to 30 June 2028 with the possibility of extensions and/or permanency available for immediate start.
