The State Government’s $451 million redevelopment of Bunbury Regional Hospital will transform the facility into one of the most modern hospitals in regional Australia. When complete, Bunbury Regional Hospital will be the biggest in country WA, reflecting its role as an important community healthcare hub for the South West region.

With continued growth across the region and several major projects underway we are seeking a driven and highly organised Document Controller to support our project delivery team.

THE ROLE

About the Role

In this key support position, you’ll be responsible for maintaining a centralised document control and information management system – ensuring the smooth flow of design documentation, shop drawings, submittals, correspondence and completion documentation between consultants, subcontractors, the project team and the client.

You will play an essential role in helping the project run efficiently, maintaining quality records and supporting timely communication across all stakeholders.

Key Responsibilities

    • Maintain efficient systems for storing and retrieving project documentation.
    • Manage incoming and outgoing design documentation, shop drawings and submittals.
    • Conduct initial quality checks and coordinate internal review processes.
    • Establish and maintain document registers and distribution matrices.
    • Track and manage overdue workflows, mail responses and submissions.
    • Audit documentation for accuracy and liaise with consultants and subcontractors to resolve discrepancies.
    • Issue updated documentation to all stakeholders and ensure currency of records.
    • Curate and maintain document control systems, removing obsolete or redundant files.
    • Assist in preparing design submissions and monthly document control reports.
    • Support project administration including contact lists, site office admin tasks and tender module support.
    • Assist the project team in meeting key deadlines and milestones.

THE CANDIDATE

What You’ll Bring

  • Proven experience as a Document Controller, ideally within construction or a related industry.
  • Strong administrative, organisational and planning skills, with excellent attention to detail.
  • Extensive knowledge of MS Outlook, Word, Excel and PowerPoint.
  • Experience using Aconex or a similar document management system.
  • Ability to interpret document workflows, monitor overdue items and maintain accurate registers.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet deadlines.
  • Experience in secretarial or office administration (highly regarded).
  • Familiarity with construction or development projects (highly regarded).
